Digitalizing Lienholder Communications for P&C Insurance Carriers

Insurance carriers are overwhelmed with constant requests from banks, credit unions and other financial institutions. These Financial Institution Inquiries (FII), as they’re known in the industry, often reach staggering volumes. One major U.S. carrier, for instance, handles over a million calls each year from institutions seeking routine policy details.

Providers have tried various solutions to handle these inquiries, but each comes with challenges. Traditional call centers face high costs and long wait times, frustrating both insurers and financial institutions. Automated phone systems (IVR) and chatbots handle basic tasks well but fall short when complex or nuanced policy information is required. Even electronic data exchanges (EDI) are expensive and technically demanding, making them impractical for many carriers.

"These outdated practices have created a toxic relationship between insurance companies and financial institutions," explains Frank Eubank, CEO of LenderDock. "Some insurance carriers know exactly who's calling—banks and other financial institutions—and deliberately put them into lengthy hold queues. Then they'll only handle one out of ten requests when they finally answer, forcing callers to hang up and call back nine more times just to complete their work."

In early 2017, LenderDock entered the insurance technology space as an innovator—not by relying on decades of industry experience, but by focusing on deeply understanding the challenges faced by insurance carriers.

“Initially, we aimed to solve just one problem with one solution,” explains Travis Rodak, CTO of LenderDock. “But we quickly discovered more pain points between insurance carriers and financial institutions that needed addressing. From there, we developed the concept of Lienholder Process Automation. Not just a service, but a complete suite of solutions.”

LenderDock’s flagship platform, LenderDock Essentials™, features three key solutions. Their standout product, VERiFi™ has earned them our Insurance Policy Verification Platform of the Year. This cloud-based system lets authorized third parties instantly connect to insurance information, removing the manual contact.

LenderDock operates with genuine real-time data. Instead of storing files or maintaining databases, they’ve developed a sophisticated API infrastructure that securely connects directly to carriers’ policy administration systems. This API network retrieves up-to-date policy information and delivers it to authorized third parties through carefully designed, secure interfaces.

"Legacy systems are still very much a reality," notes CTO Travis Rodak. "The insurance industry's digital transformation is just beginning. Understanding this, we adopted a highly flexible integration approach while encouraging carriers to embrace newer technologies. This strategy has significantly reduced integration timelines and made the process more enjoyable for everyone involved."

The Essentials suite includes two additional solutions: LIENSure™, which streamlines mortgagee clause corrections and LENDERDocs™, providing instant access to insurance documents. Together with VERiFi™, the LenderDock Essentials™ package effectively eliminates FIIs.

To illustrate the impact: One of Florida's largest insurance carriers faced a staggering volume of phone calls and emails from banks. After adopting LenderDock, the results were remarkable—in just two months they were shutting down their dedicated phone lines. Banks could now seamlessly access all necessary information directly through the platform.

This isn’t an isolated result. An Indiana-based insurer experienced such a sharp drop in incoming calls that their IT team checked to ensure their phone systems were still working—all within just two weeks of implementation. Similarly, a major East Coast carrier, which previously handled over 2,500 monthly bank inquiries by phone, saw call volumes decrease by an incredible 98.5 percent after adopting the platform.

"Our solution consistently demonstrates these measurable improvements," explains VP of Technology Brandon Rodak. "Every new integration demonstrates the mutual benefits for all parties involved. Our carriers don't just experience the operational improvements—they can track the impact through our platform's analytics, which clearly shows the correlation between implementation and results."

It’s Not Just Inbound

Insurance notifications are another crucial component of Lienholder Process Automation, as carriers are required to send information directly to mortgagees and lienholders. Traditionally, this has been done through two methods: costly print-and-mail services or Electronic Data Interchange (EDI). While print-and-mail incurs significant expenses, EDI creates different issues, as it disperses sensitive carrier data, making it difficult to track and control once it leaves the organization.

"I struggle to understand how carriers can be comfortable sharing data through file transfers to vendors," says CTO Travis Rodak. "While this may have been the only option in the past, carriers should embrace more secure and controlled delivery methods."

NOTiFi™ is one such secure solution. As the first to market with an inbound API for electronically delivering insurance notifications to lienholders, LenderDock set a new standard in the industry. The solution goes beyond notices, offering features like bill presentation. With the widespread adoption of LenderDock Essentials™, NOTiFi™ now boasts the highest electronic delivery rate in the market, outpacing competitors.

"Our platform's elimination of printing, paper and mailing expenses delivers additional value," notes Eubank. "This seamlessly integrates with our existing suite of services for insurance carriers and financial institutions."

Our recent analysis of LenderDock's services highlights a remarkable financial impact: a recent implementation delivered approximately $3 million in annual cost savings, cutting operational expenses by 70 percent.

Not Just Paper But Checks

Recognizing the persistent issue of premium payments— particularly the reliance on physical checks—LenderDock expanded its Lienholder Process Automation suite with ESCROWPay™. With mortgagee billed policies, premiums are paid through mortgage escrow accounts. This might appear straightforward, but it poses significant challenges for carriers. A large portion of these payments still arrive as physical checks, requiring carriers to depend on third-party processors. This outdated process not only delays cash flow but also increases the risk of unnecessary policy cancellations. ESCROWPay™ was developed as a modern, automated solution to address the inefficiencies in premium payment processing.

"Artificial intelligence has revolutionized ESCROWPay™, especially in payment reconciliation," explains CTO Travis Rodak. "AI technology streamlines the entire process—from predicting incoming payments to determining their allocation and automatically triggering workflows when matching deposits appear in bank accounts."
